Discord staff application: Google Form or a form inside Discord?
Most Discord servers start staff applications with a Google Form linked in #apply. It is free and it works. A form inside Discord (a bot with an Apply button and a pop-up) fixes the parts that get painful once applications come in every week. Here is when each one is the right choice, side by side, and how to do either well. Disclosure: we make Formwell, a free in-Discord form bot; we say below where a Google Form is the better tool.
Side by side
| Google Form | Form inside Discord (Formwell) | |
|---|---|---|
| Cost | Free | Free: 3 forms, 5 questions each, unlimited submissions |
| Length | Any number of questions and pages, long question text | Discord allows 5 questions per pop-up, labels up to 45 characters |
| Question types | Multiple choice, checkboxes, scales, file upload, dates | Short and paragraph text, dropdown, multiple choice, checkboxes; no file upload yet |
| Who applied | Whatever the applicant types as their username; you match it by hand | Known exactly: the Discord account that clicked Apply |
| Where answers go | Google Sheets / the Forms responses tab (or a channel, with the script below) | Your private review channel, with Accept and Deny buttons |
| Giving the role | By hand, after finding the member | Accept gives the role automatically |
| Telling the applicant | By hand (DM), or not at all | Accept and Deny DM the applicant; Deny asks you for a reason |
| Applicant leaves Discord? | Yes, opens a browser (on mobile, often a login prompt) | No, it is a pop-up in the app |
| Staff need | Access to the Google account or Sheet | Access to the review channel |
Formwell facts are ours. Discord's limits (5 inputs per modal, 45-character labels) are Discord's own; any in-Discord form bot has them.
When a Google Form is enough
- You open applications once or twice a year and get a handful.
- You want a long application (15+ questions), multiple-choice quizzes on your rules, or file uploads (a portfolio, a clip).
- One person reviews everything, and giving roles by hand is no burden.
If that is you, keep the Google Form and make it work better:
- Ask for the Discord username and the numeric user ID (Developer Mode > right-click name > Copy User ID). The ID never changes, so you find the right member even after a name change.
- Turn on "Limit to 1 response" only if your applicants have Google accounts; on a teen-heavy server it blocks people.
- Post new responses to a private staff channel so nobody has to check the Sheet. A Discord webhook and a few lines of Apps Script do it:
// In the Google Form: (three dots) > Apps Script. Paste, set WEBHOOK,
// then Triggers (clock icon) > Add trigger > onSubmit > From form > On form submit.
const WEBHOOK = "https://discord.com/api/webhooks/..."; // channel > Edit > Integrations > Webhooks
function onSubmit(e) {
const parts = e.response.getItemResponses().map(function (r) {
return "**" + r.getItem().getTitle() + "**\n" + String(r.getResponse()).slice(0, 900);
});
UrlFetchApp.fetch(WEBHOOK, {
method: "post",
contentType: "application/json",
payload: JSON.stringify({
content: parts.join("\n\n").slice(0, 2000), // Discord's message limit
allowed_mentions: { parse: [] } // no @everyone from answers
})
});
}
A sketch using Google's documented Apps Script calls (FormResponse.getItemResponses, UrlFetchApp); we have not run it on a live form, so send one test response first. Roles and replies still happen by hand with this setup.
When a form inside Discord wins
- Applications come in every week, or several staff review them.
- You give a role on acceptance (trial mod, whitelisted, department) and are tired of doing it by hand.
- Applicants keep asking "did I get in?", because nobody had time to reply.
- You get fake or mistyped usernames and cannot tell who applied.
- Most of your members are on phones, where leaving Discord loses them.
Members click Apply and answer in a Discord pop-up. Answers land in your review channel with Accept and Deny; Accept gives the role and DMs the member. Free: 3 forms, 5 questions each, unlimited submissions. Set up with 3 slash commands.

Moving a Google Form application into Discord
The 5-question limit is the real change. Pick the five questions that actually decide a first yes or no, and move the rest to an interview:
- Keep availability (time zone, hours a week), one scenario question, one question about your rules, and "why this team".
- Rewrite each label to 45 characters or less. Our staff application template has five sets already cut to size.
/form create name:staff review_channel:#staff-apps accept_role:@Trial Mod, add the five questions with/form add-question, then/form publish form:staff channel:#apply.- Replace the Google Form link in #apply with the panel, and close the Google Form (Responses > turn off "Accepting responses") so nobody applies in both places.
The hybrid that many servers end up with
A short in-Discord form as the first filter (five questions, Accept gives an @Interview role that opens a private channel), then a voice or text interview, then the staff role by hand. The form removes the low-effort applications; the interview is where you judge. If you need a long written test, keep a Google Form for that second stage and send its link only to people who passed the first.
